## 1. How K1 Pre-Order Works

K1 Pre-Order is an embedded Shopify application. Merchants configure pre-order behavior through **rules**. A rule targets products, collections, or selected variants and defines:

- when an item is shown as available for pre-order;
- which payment options are offered;
- which storefront elements are rendered;
- whether Shopify inventory policy is changed;
- whether a pre-order quantity limit applies;
- when the rule becomes active or inactive;
- which order tags and line-item properties are added.

### Rule activation and synchronization

Saving a rule stores its product targets, payment options, storefront settings, inventory behavior, and schedule. Activating or updating the rule applies those settings to the selected Shopify products and variants.

The rule list and editor show activation and update progress. Queued operations can be cancelled before processing begins. Multiple rules can run simultaneously, while conflict detection prevents overlapping rules from controlling the same variant. Duplicating a rule creates an independent copy that can be configured and activated separately.

## 2. Rule Management

### Rule list

The application provides a rule list with:

- Active, Disabled, Scheduled, and All filters;
- search, sorting, and pagination;
- rule status and processing status;
- orders/items sold and rule revenue;
- conflict indicators;
- scheduled activation information;
- storefront preview links;
- single and bulk activation, deactivation, deletion, and queue cancellation.

Rules currently being processed are temporarily locked against duplicate operations. Bulk actions automatically skip rules that are already queued or in progress.

### Rule targeting

A rule can target:

- individual products;
- collections;
- selected variants of a product;
- the complete product when no narrower variant selection is stored.

Products added to a selected collection are included in the active collection rule automatically. Product and collection changes are synchronized with rule membership.

Shopify Flow add/remove actions work at **product level**. When Flow adds a new product to a rule, the complete product is added. If the product already has selected variants in that rule, K1 preserves the existing selection.

### Display conditions

A rule supports these display modes:

- **Always** — covered variants are treated as pre-order whenever the rule is active.
- **When out of stock** — pre-order presentation starts when regular sellable inventory is exhausted.
- **Below inventory threshold** — pre-order presentation starts when inventory reaches the configured threshold.

The display mode is evaluated on the storefront. It is not a membership rule. Restocking a product does not remove it from the rule; it changes whether the pre-order UI is visible and, depending on inventory-policy settings, whether continued selling remains enabled.

### Scheduling

A rule can:

- activate immediately;
- activate at a future date and time;
- use an end date for automatic deactivation.

A scheduled start must be in the future when the rule is created as Scheduled. Background processing performs the actual Shopify synchronization, so a status change is not necessarily instantaneous for large rules.

### Storefront visibility controls

Per rule, the merchant can control whether pre-order elements are used on:

- product pages;
- collection pages;
- the home page.

The rule also controls:

- pre-order message text;
- message placement relative to the add-to-cart area;
- badge visibility;
- payment-options widget visibility;
- line-item message generated by the selected payment option.

### Continue selling when out of stock

A rule can manage Shopify's variant inventory policy. The configuration distinguishes:

- whether K1 should change the policy when pre-order becomes active;
- what should happen when pre-order is no longer offered;
- whether policy management applies for the full active campaign or only while the variant is currently pre-order-visible;
- an option not to manage the inventory policy.

When K1 manages the policy, it applies the selected Shopify inventory behavior during rule activation and updates or restores it during deactivation, restock, product removal, or rule deletion.

> Display conditions and inventory policy are configured independently. A product remains assigned to its rule when inventory changes, while storefront visibility follows the selected display condition. Choosing “Do not change inventory settings” keeps Shopify inventory policy under merchant control.

### Conflicts

Only one active rule can own a variant. The application:

- detects overlapping product, collection, and variant coverage;
- stores and displays conflict information;
- prevents conflicting ownership from silently overwriting another rule;
- can reactivate or resynchronize a rule after the conflict is resolved;
- supports conflict export for large rules.

## 3. Payment Options

A rule can contain one full-payment option and multiple partial-payment options. Option names must be unique within the rule. Options can be reordered by drag and drop, and one option is selected as the default. If no default is saved, the application assigns one. When only one option exists, the merchant may hide the selector while K1 continues applying that option to the cart.

Each payment option can define:

- name and description;
- order tag;
- line-item property name and value;
- default state and display order;
- optional discount;
- translated text;
- dynamic variables.

### How Full Payment Works

Full payment has two implementation methods.

#### Add-to-cart button replacement

- The buyer pays the full product amount.
- K1 replaces the standard add-to-cart presentation with the configured pre-order button and line-item message.
- The buyer pays the full amount through the store's regular checkout.
- The store's normal payment gateways remain available.
- This method can coexist in the same rule with one or more deposit options.

#### Native purchase option

- K1 creates and submits a Shopify selling plan representing full payment.
- Shopify displays the purchase option in surfaces that understand selling plans.
- Payment-gateway compatibility follows Shopify's purchase-option restrictions.

### How Partial Payments and Deposits Work

A partial-payment option supports:

- percentage deposit;
- fixed-amount deposit;
- a zero-value deposit for authorization-oriented flows where supported;
- automatic balance charge;
- offline balance collection;
- balance due a number of days after the order;
- balance due on a specific date;
- custom option name, description, order tag, and line-item message.

For automatic collection, K1 schedules the remaining balance and charges it on the configured date using the customer's saved payment method when supported. Depending on store settings, the merchant or customer can also pay the balance early.

For offline collection, K1 leaves the remaining balance for the merchant to collect manually. The merchant then updates the Shopify order as appropriate.

### Payment-option validation

Important validation and behavior rules include:

- an automatic-charge option requires charge timing;
- “days after order” requires a positive number of days;
- a deposit must be lower than the price to which it applies;
- a fixed deposit can be invalid for products priced below that amount;
- only one full-payment option is allowed per rule;
- payment-option names must be unique;
- at least one default option is maintained;
- the selected payment gateway must support the Shopify purchase-option/deferred-payment flow for plan-backed options.

### Payment-option discounts

A full or partial payment option can have an optional percentage or fixed discount.

The configured discount is applied to the selected payment option. K1 supports discounts for both Shopify purchase-option payments and full-payment button-replacement pre-orders.

Global settings control whether the K1 automatic discount can combine with order, product, and shipping discounts. Selling-plan pricing policies are not Shopify discount objects, so those combination controls do not apply to the plan-backed path in the same way.

Implementation notes:

- save-time validation checks fixed discounts against covered product prices;
- rule payment-option discounts apply to rule-driven storefront pre-orders;
- manual pre-orders use their own detached payment configuration;
- discount-combination settings and cart-price presentation are configured separately.

## 4. Dynamic Variables and Text Resolution

K1 resolves a defined set of variables in rule messages, payment-option names and descriptions, and line-item properties. Supported values include payment amount, remaining amount, charge date, remaining pre-order limit, option references, and merchant-selected product metafields.

Product metafields are resolved for the relevant product or variant. Dates follow the storefront locale and store timezone. Unavailable values are handled without producing malformed cart-property names or values.

## 5. Storefront Rendering

The theme app extension can render four main elements:

1. a pre-order badge on product imagery;
2. modified add-to-cart button text;
3. a pre-order message near the product form;
4. a payment-options widget on product pages.

### App Embed and app block roles

- The **App Embed** supplies global storefront discovery, badge/button/message behavior, cart markers, Smart Cart logic, and compatibility handling.
- The **Payment Options app block** gives the merchant an explicit position for the selector on a product template.

The App Embed must be enabled for the full storefront integration. A payment widget also requires an active rule with payment options and widget visibility enabled.

### Theme and storefront compatibility

K1 supports product pages, collection pages, home-page product sections, dynamic theme sections, quick-view and quick-buy dialogs, and localized storefront routes.

Dedicated compatibility is available for common Shopify themes and supported page-builder experiences, including LayoutHub product pages, quick-view forms, and quick-add links. Theme-specific storefront adjustments can be configured when a store uses custom product forms or cart components.

### Built for Shopify

K1 PreOrder has earned the **Built for Shopify** designation. This badge is awarded to apps that pass Shopify’s quality review and meet its standards for performance, design, and platform integration.

For merchants, this means:

- the app is designed to preserve storefront performance and meet Shopify’s speed requirements;
- the admin experience follows Shopify’s design standards and feels consistent with the rest of Shopify;
- the app uses current Shopify integration standards for compatibility with the admin, storefront, checkout, Customer Accounts, and other supported Shopify surfaces;
- the app is reviewed against ongoing Shopify quality requirements rather than receiving the designation based only on developer claims.

## 6. Design Configuration

The Design area controls global storefront defaults.

### Button

- button text;
- inherited theme style or K1 custom style;
- text, background, border, and hover appearance;
- sold-out button behavior used when a pre-order limit is reached.

### Badge

- badge text;
- ribbon/badge shape;
- position;
- colors and appearance.

### Payment-options widget

- widget label;
- typography and option-name emphasis;
- text, border, background, selected-state, and spacing values;
- savings and discount labels;
- live preview using saved design defaults.

### Advanced customization

- custom CSS;
- custom JavaScript intended for controlled theme-specific adjustments.

Custom CSS and JavaScript are intended for controlled theme-specific adjustments implemented by a developer or support specialist.

## 7. Translations

The application reads the languages published in Shopify and maintains translation records for them. The default language is initialized automatically, and the admin shows completion status per locale.

Translatable content includes:

- global button, badge, sold-out, and widget labels;
- storefront validation/error text;
- rule messages;
- payment-option names and descriptions;
- payment-option line-item property text;
- cancellation/refund text used by the buyer portal.

Translations use the source/default value as fallback when a localized value is empty. Cancellation/refund translations are consumed by the K1 backend and customer-account interface; they are not synchronized to the storefront rule metafield.

## 8. Smart Cart Allocation and Pre-Order Limits

### How Smart Cart Allocation Works

For inventory-dependent rules, Smart Cart can divide a requested quantity into regular and pre-order portions.

Examples:

- available inventory is 5 and the buyer requests 7 → 5 regular + 2 pre-order;
- available inventory is 0 → the full quantity is pre-order;
- requested quantity is within regular inventory → no pre-order split;
- Always mode → the full covered quantity is pre-order.

For below-threshold mode, the threshold acts as the regular-inventory boundary. The client uses Shopify cart responses as the final authority because Storefront and Admin inventory fields can differ from the quantity Shopify will accept at that instant. If Shopify accepts less regular quantity than expected, K1 reallocates the remainder to pre-order where possible.

Smart Cart Allocation is plan/capability gated and must be enabled in settings. It is synchronized to a shop metafield read by the storefront.

### Pre-order quantity limits

Limits are stored per covered variant and include:

- configured pre-order limit;
- orders/pre-order quantity already placed;
- remaining quantity;
- enabled, disabled, or limit-reached state.

The storefront prevents additions above the remaining pre-order limit and shows a sold-out state when the limit is reached. Order creation increments counters. Cancellation and applicable refunds decrement quantity counters. Revenue is not decremented by refunds.

Resetting limits preserves the configured positive limit and resets the placed counter, reopening the variant. A row intentionally configured with a zero limit remains limit-reached. Disabled limit rows remain disabled.

### Cart and checkout validation

K1 validates regular and pre-order quantities throughout the cart and checkout experience. The storefront provides immediate quantity feedback, while checkout validation enforces available inventory and configured pre-order limits across standard and accelerated checkout paths.

Live Shopify cart availability is used when dividing an order into regular and pre-order quantities.

## 9. Pre-Order Tracking

When a Shopify order contains a K1 pre-order, the application records the customer, products, quantities, payment configuration, amounts, status, and lifecycle timeline. It also:

- creates the balance schedule for eligible deposit orders;
- updates pre-order limits and usage;
- applies configured order tags;
- starts the relevant customer email and Shopify Flow events;
- preserves the rule information associated with the order.

## 10. Pre-Order Management in the Admin

The Pre-orders area provides list and detail views for full-payment, deposit, limit-based, offline, and manually created pre-orders.

### List

The list supports:

- order/pre-order identifier;
- customer and product information;
- owning rule snapshot;
- payment type and derived status;
- dates and amounts;
- search, filtering, sorting, and pagination;
- empty, demo, and no-results states.

### Detail and timeline

The detail view includes:

- customer and line items;
- subtotal, deposit, balance, collected, outstanding, refunded, and refundable amounts;
- payment schedules and attempts;
- collection method;
- Shopify order link;
- lifecycle event timeline;
- eligibility-based actions.

Available actions can include:

- charge the next outstanding balance now;
- change the charge date;
- cancel an active scheduled charge;
- refund deposit, balance, full collected amount, or a custom amount;
- request replacement of the saved payment method;
- send a manual pre-order payment link;
- delete an unconfirmed manual pre-order.

Action availability is calculated on the backend from current order state. Terminal, cancelled, fully refunded, missing-scope, missing-schedule, and missing-payment-method states remove actions that cannot be completed safely.

### Refund behavior

Refunds from the admin do not automatically cancel the Shopify order. Deposit and balance presets are all-or-nothing for the still-refund-able portion. If a partial prior refund means the complete portion is no longer available, the merchant must use a custom amount. Refunds are capped by collected and still-refundable money.

A full Shopify refund cancels active deferred charges. A partial refund does not automatically cancel the remaining balance because money may still be owed.

### Change-date limitation

Changing the charge date requires the live `write_payment_terms` scope. Stores that have not granted the scope see the action disabled/unavailable. The operation updates Shopify payment terms and the K1 schedule together when Shopify accepts it.

## 11. Manual Pre-Order Creation

Eligible plans can create a pre-order manually from the admin before a Shopify order exists.

The merchant selects:

- customer;
- product/variant and quantity;
- payment model;
- deposit type and amount;
- automatic or offline balance collection;
- charge timing where applicable;
- line-item message;
- whether to generate and automatically email a payment link;
- the payment-link email template.

K1 creates a unique checkout link for the selected customer and products. The Shopify order is created after the customer opens the link and completes checkout.

Manual pre-order requirements:

- each checkout link represents one pre-order and is completed once;
- selected variants must be active and available on the storefront;
- automatic delivery requires a selected payment-link email template;
- payment settings are configured directly for the manual pre-order.

## 12. Draft Orders

A per-shop setting can enable pre-order handling for Shopify draft orders. It is off by default.

When enabled, products covered by an active pre-order rule are recognized as pre-order items in Shopify draft orders. Inventory validation then applies the appropriate regular and pre-order quantities when the invoice is opened or the order is completed.

Deposit-based manual pre-orders with a scheduled remaining balance are created through K1's manual pre-order flow.

## 13. Customer Account Self-Service

K1 provides a full-page “My pre-orders” extension for Shopify Customer Accounts. The merchant enables the extension and adds its customer-account page or menu placement.

Buyers can see:

- all identified K1 pre-orders;
- items, quantities, prices, and plan/line-item labels;
- subtotal, shipping, total, paid, balance due, and refunded amounts;
- status badges, including cancelled and refunded states;
- payment schedule and due date;
- card brand and last four digits when available;
- merchant cancellation terms or the reason cancellation is unavailable.

Depending on merchant policy and backend eligibility, buyers can:

- pay an outstanding balance now;
- use Shopify's hosted payment page with another method;
- update the saved card in-session for supported Shop Pay cases or request an emailed update link;
- cancel the pre-order and receive the refund outcome defined by merchant policy.

Cancellation and refund outcomes are verified immediately before execution using the latest order status and the merchant's policy.

Requirements and action availability:

- the merchant enables the K1 page in Shopify Customer Accounts;
- Pay now is available when the merchant enables it and the order has a chargeable K1 balance;
- card updates use an in-session Shop Pay flow or an emailed/hosted Shopify flow, depending on the payment method;
- cancellation availability follows fulfillment state and the merchant's cancellation/refund policy;
- offline balance collection uses Shopify's hosted payment page when available and allowed by merchant policy.

## 14. Cancellation and Refund Policy Settings

The Settings area lets the merchant configure buyer self-service policy separately for deposit and fully paid orders.

Supported policy concepts include:

- no refund;
- deposit refund within a configured number of days;
- deposit refund before fulfillment;
- no refund for fully paid orders;
- full refund;
- balance-only refund where a separable collected balance exists;
- localized terms text;
- an unavailable-action explanation;
- applying changed policy only to new orders or to new and existing orders;
- enabling/disabling early balance payment.

Policy changes are timestamped only when policy fields actually change. Unrelated settings saves do not silently change the cohort of orders governed by the policy.

## 15. Custom Customer Emails

K1 includes a merchant-authored customer email system for pre-order lifecycle communications.

### Email editor and templates

The admin supports:

- starter templates;
- subject, preheader, sender name, reply-to, and structured email content;
- preview in desktop, mobile, and plain-text modes;
- test sends;
- merge variables for customer, shop, order, pre-order products, payment amounts, dates, actions, and selected metafields;
- Draft, Active, Paused, and Sent states depending on send mode;
- duplication, soft deletion, and lifetime send statistics.

### Triggered email events

Automated emails can be triggered by:

- pre-order placed;
- balance due date;
- balance overdue/failed;
- balance paid in full;
- item fulfilled;
- order cancelled or fully refunded.

Timing supports immediate delivery and supported days-before/days-after anchors. Audience rules use AND between groups and OR within a group. Delivery is deduplicated per email/order/customer; fulfillment events additionally deduplicate per fulfillment so separate fulfillments can each send.

### Manual emails

An email can be configured for manual dispatch to a selected audience. Manual emails never enter the automatic trigger pipeline. Re-sending creates a new batch. Payment-link emails are excluded from general bulk sending because each link belongs to one unconfirmed manual pre-order.

### Payment-link email

A dedicated email can be sent from an unconfirmed manual pre-order. Its context comes from the stored pre-order because no Shopify order exists yet. The email can include the unique checkout/payment URL.

### Sender domains and delivery controls

The merchant can use:

- a K1-hosted sender subaddress;
- an authenticated custom domain on eligible plans;
- store contact or custom reply-to settings;
- SPF, DKIM, and DMARC verification workflow;
- automatic fallback to the K1 sender if a custom domain later loses verification.

The system records queued, sent, delivered, opened, clicked, bounced, failed, and suppressed states where available. Unsubscribes, hard bounces, spam complaints, and manual suppressions prevent future sends.

Delivery and activation requirements:

- custom sender domains require successful domain authentication and an eligible plan;
- triggered emails must pass activation validation;
- manual emails remain separate from automatic lifecycle emails.

## 16. Shopify Flow Integration

K1 exposes six Shopify Flow triggers:

1. Pre-order placed.
2. Pre-order balance payment succeeded.
3. Pre-order balance payment failed or overdue.
4. Pre-order balance due soon.
5. Pre-order fully paid.
6. Pre-order cancelled or fully refunded.

Trigger payloads include the Shopify order reference, K1 pre-order ID, payment mode, amounts/currency, and the stored rule name and rule ID where available. Merchants can add Flow conditions to restrict a workflow to one or more rules.

K1 exposes ten Flow actions:

1. Collect pre-order balance.
2. Cancel scheduled pre-order charge.
3. Reschedule pre-order charge by a number of days from today.
4. Request pre-order card update.
5. Refund pre-order deposit.
6. Refund pre-order balance.
7. Refund pre-order in full.
8. Refund a custom pre-order amount.
9. Add product to pre-order rule.
10. Remove product from pre-order rule.

The repository also contains prebuilt Flow templates, including failed-charge recovery, team notifications, payment/fulfillment workflows, and inventory-driven add/remove-rule workflows. Template availability in the Flow gallery depends on Shopify review and the deployed production app version.

Workflow configuration requirements:

- Shopify Flow must be installed;
- add/remove actions select their K1 rule on a dedicated configuration page;
- inventory templates pass the triggering variant's parent product to the K1 action;
- existing variant selections are preserved when Flow updates rule membership;
- rescheduling is configured as a number of days from the workflow run date;
- runtime actions validate the order, schedule, amount, and rule configuration before execution.

## 17. Integrations Catalog

The in-app Integrations area currently includes:

### Qikify Custom Product Options

The integration supports Qikify option fields, price add-ons, conditional logic, and preservation of selected options through cart and order data when the product form submits the Qikify and K1 fields together.

### GemPages

- GemPages V7 can use the Shopify app element/app block.
- GemPages V6 uses a self-contained Liquid snippet copied from the integration page.
- The snippet adds the K1 payment-options widget to the selected position on the product page.
- Custom product-page implementations can use a dedicated integration setup.

### LayoutHub

The App Embed supports LayoutHub product pages, quick-view forms, and anchor-based quick-add links through dedicated compatibility logic. The payment selector still requires an app-block-capable template or an appropriate placement path.
